Budget Improvements: Approvals & Expense Tracking

We're thrilled to introduce powerful enhancements to our budget management system:

  1. Budget Approvals: Admins can now enable budget approvals, requiring leads to get expenses approved before they're finalized. This aligns with our event flow, ensuring tighter control over ERG spending.

  2. New submission fields: Leads now have two new fields when submitting expenses:

    • Purchase Date - include the date that the purchase was made.

    • Planned Amount - When creating an expense, include the amount that you expect to spend. Once the money has been spent, you can edit the expense to include the actual amount that was spent if there is any discrepancy.

Example

  1. In February, you create an expense for t-shirts that you want to purchase for your ERG in June. You plan to spend $500 on the shirts, so you add that amount in the Planned amount field.

  2. On June 1, you purchase the t-shirts, and you edit the expense in Chezie to reflect this Purchase date.

  3. In July, you realize that the t-shirts actually cost $535 (including tax) so you go into Chezie to update the Actual amount to $535.00.
